Payroll Specialist

The Payroll Specialist administers the company payroll, taxes, related benefits and reporting to remain in compliance with company policies and governmental regulations. 

What you’ll do:

  • ​Process bi-weekly and weekly employee payroll information, ensuring accurate and timely payment made to employees for each payroll period for salaried, hourly, and commission-based payments. Includes remitting payroll tax documents and benefit-related payments.

    • Reconcile payroll prior to transmission and validate confirmed reports

    • Process correct garnishment calculations and compliance

    • Process final payroll on accelerated schedules for terminations/resignations

  • Ensure status changes and audits of time records are accurate and any discrepancies are addressed and resolved.

  • Respond to payroll questions, verifications of employment, and concerns of employees, researching records and involving other resources/staff as needed, responding in a timely manner. 

  • Provide payroll reporting support.

  • Administration of the time clocking system for hourly field employees. 

  • Ensure that rules and regulations concerning confidentiality, privacy and retention are followed. 

  • Maintain 1099 data for contract employees and vendors and prepare the annual filings.

  • Assist others on the accounting team as needed with filing, ad hoc vendor questions, and other general accounting functions.

  • Work with HR to administer the employee benefit programs including 401(k), health insurance, long term and short-term disability and life insurance including on-boarding new employees and off-boarding terminating employees.

  • Act as a backup to HR to collect new employee documents when onboarding, including government forms, benefit registration and payroll system sign up.

  • Act as a back up to HR to maintain personnel files in both paper and digital formats.

  • Other projects as assigned.  

Our Ideal Candidate has:

  • High School Diploma/GED

  • Minimum three years of experience processing multi-state payroll

  • Strong knowledge of payroll best practices

  • Strong knowledge of federal and state regulations

  • Intermediate Microsoft Excel skills

  • Organizational skills

  • Exceptional attention to detail

  • Excellent communication skills, both verbal and written

  • Works well independently as well as with other members of the team

  • Ability to be consistently accurate and maintain a high degree of confidentiality

Bonus Points!

  • Associate degree in Accounting, Finance, or equivalent Vocational Education

  • CPP Certification

  • Experience processing payroll for a construction/industrial field

  • Self-starter and able to work in a fast-paced environment with the ability to multi-task.

  • Ability to complete simultaneous projects with minimal supervision.

  • Understanding of appropriate allocation of work and good prioritization skills.

  • General knowledge of employee benefits and employment practices.

  • Knowledge of FMLA, overtime laws, leave of absence laws, 401K, and Worker’s Compensation, understanding of payroll journal entries as it applies to payroll administration.

  • Customer service experience
